Clients

You already created you first client during the setup process, but let's talk about some additional details regarding clients.


Client status

Each client has a status which can be changed at any given time. The client status will determine which interactions are available with a given client.

  • Active: the client is available to all projects and can be chosen as a target when creating an order.
  • On hold: the client is not available when creating an order. This status is useful to temporarily disable clients, for example when you need them to sign an NDA before they can receive orders.
  • Archived: the client cannot be chosen as a target when creating an order and will be hidden in certain views and filters. Useful for legacy clients that you no longer work with.

Changing the currency

When creating a client you need to specify the currency that the client is using when billing you for their services. It is possible to change this currency at any given time. However, these changes do not apply to existing orders. When creating an order for a client, the current client currency will be associated with the order and is kept even when you change the client currency later.

Check for open orders

If you need to change the client currency, check for open orders and inform the client that he needs to use the old currency when submitting remaining invoices for these orders.

Alternatively, you can cancel these open orders and create new orders for the contents that have not yet been billed by the client.


Deleting contacts

If you are working with larger clients you can define multiple contacts that may receive orders. Deleting these contacts later is possible. However, this will remove them from all orders created for them. Keikaku will then default these orders back to the general client contact details.

If you want to retain the order associations for a contact, you can change its status to "Archived" instead of deleting the contact.

Tagging

As your list of clients grows, it can get harder to find the client you're looking for. Tagging clients solves this problem. You may then filter your clients by tags on the client list in the admin panel or when creating an order.

To manage your tags, head to the "Settings" section in the admin panel.

Choosing good tag names

Try to use keywords that relate to your budgets. For example, when some of your projects contain a "Marketing" budget you should also use the keyword "Marketing" to tag clients that offer related services.
